When it comes to your wedding celebration, music plays a crucial role in setting the perfect atmosphere. Whether you prefer a professional band or a skilled DJ, you can rely on my expertise as an experienced provider of wedding music.

 

Before becoming a wedding photographer, I spent many years performing in a party band and working as a DJ, playing at countless weddings. With my extensive experience from over 300 weddings, I can offer valuable advice and guidance on choosing the right music for your big day.

BUDGET

Budget is a central consideration in deciding on the music for your wedding celebration. The choice between a live band and a DJ can have significant financial implications. Generally, a band tends to be the more expensive option compared to a DJ. This is primarily because a band typically consists of multiple members, each requiring payment.

 

It’s essential to carefully consider what music means to your wedding day. Is it most important for you to “simply” have great and festive music that gets your guests dancing? Or do you want to create a unique and unforgettable musical experience that elevates your wedding celebration to something truly extraordinary? Both desires can be fulfilled, whether you choose a DJ or a band. Like everything else, there are “nice-to-haves” and “need-to-haves.”

 

Your choice should also reflect the atmosphere and style you want to create for your reception. A live band can bring a certain raw charm and presence that’s hard to replicate with a DJ. On the other hand, a DJ can offer a wider range of music and adapt more easily to the crowd’s preferences throughout the evening.

 

It’s also worth exploring a middle ground, such as a DJ who collaborates with one or two live musicians, allowing you to combine the best of both worlds while staying within your budget. Whatever you choose, ensure it aligns with your vision for the day and creates the perfect soundtrack for your celebration.

HOW MUCH SHOULD IT COST?
(weddings in Denmark)

 

Price is one of the most frequently asked questions when it comes to music for a wedding. Unfortunately, it’s not always easy to provide a straightforward answer, as many factors come into play. However, when it comes to DJs, here’s a rough guide for 3 hours of party music:

• Be cautious about booking anything below 4,000 DKK for 3–4 hours if you’re aiming for reasonable quality. As with most things, price and quality often go hand in hand. If the price is on the higher side, it’s worth considering the reasons for it, especially if the DJ isn’t a “known” name. Are there extra benefits included, such as extensive lighting equipment or additional speakers for larger venues? Supply and demand also play a role—some DJs charge more simply because they’re exceptionally talented, in high demand, and know how to create an unforgettable party. It’s always okay to ask for clarification about pricing.

• For live bands, you can use the following rule of thumb: approximately 2,500–3,000 DKK per member, plus transport and any fixed costs like a sound technician or additional equipment for larger events. For a skilled and experienced quartet, you’re looking at a price range of 11,000–14,000 DKK. Again, supply and demand are key factors here. Some bands offer something truly special and therefore charge a bit more. Personally, I wouldn’t go below 12,000 DKK for a quartet or 9,000 DKK for a trio.

 

Talented live musicians, like DJs, often perform at many events throughout the year, typically on 20–25 Saturdays. For them, this is no longer an unpaid hobby; they want their time and effort to be valued, especially as professional-quality equipment is far from cheap.

 

Alternatively, you can find less expensive DJs or bands who are less experienced and willing to play for lower fees to gain more experience. Here, you might get lucky and have a fantastic experience at a reasonable price. However, be mindful of potential challenges, such as lack of experience, insufficient technical knowledge of their equipment, or limited ability to engage with your guests.

 

Make sure to ask whether they (especially bands) provide lighting for the dance floor. Most do, but as a photographer, I’ve seen several bands show up without their own lighting equipment. This can lead to either a dark dance floor or less festive lighting. It’s also worth double-checking with the DJ, even though I’ve personally never experienced a DJ arriving without a proper lighting setup.

 

Taking the time to ask these questions will help ensure the music at your wedding fits both your expectations and your budget.

COCKTAIL HOUR & RECEPTION

 

If budget isn’t a constraint, you can focus on the type of atmosphere you want to create for your wedding. When it comes to the reception, there’s a significant difference between choosing a playlist, a lounge DJ, an acoustic duo, or a string quartet. All four options can be fantastic for setting the desired mood. For instance, if you’re aiming for a modern city vibe, a lounge DJ might be a great choice. On the other hand, if you’re hosting a cozy garden wedding, an acoustic duo could be perfect.

 

After the reception comes the dinner, and here, too, you can choose different styles depending on your preferences. If you’re envisioning a sophisticated atmosphere with grand chandeliers and elegant table settings, a small jazz or swing trio could be an excellent option. Alternatively, a DJ could be hired to play a similar repertoire. If you prefer a more rustic and natural vibe, a skilled guitarist could help set the tone.

 

For the dinner, you have just as many options as you do for the reception. You could opt for a do-it-yourself solution with speakers and a playlist, hire a DJ, or book live music.

 

If you choose to go with a playlist, make sure to appoint someone among your guests to manage the music, pausing it for speeches and other planned activities. Otherwise, it could become a challenge—something you definitely won’t want to handle as a bride or groom on your big day.

PLAYLIST

FOR COCKTAIL HOUR & DINNER

Like everything else, most people have chosen both advantages and disadvantages. If you end up going the playlist route, it gives you flexibility and control, but may lack the personal touch. Here you can get a little overview of playlist music for your reception/dinner.

PROS

• Very inexpensive, if not free. Most people today have a streaming subscription, and many also have a speaker capable of providing party-worthy sound.

• Easy to have full control over what’s played by planning in advance. Plus, you can always add song requests to the queue function.

• Most streaming services offer playlists curated for different moods and occasions. So even without musical expertise, you can manage just fine with this option.

CONS

• One of your guests will need to take on the task of managing it, including starting and stopping the music during speeches and activities. This is not something you’ll want to deal with on your wedding day.

• It cannot accompany any planned performances or songs during the event. While you might be able to find instrumental versions of songs if someone has written alternative lyrics, it can easily go wrong if the timing is off or people miss their cue, leading to a chaotic experience with a music app.

• It cannot adapt to the mood or energy of the day/evening like a DJ or live musician can.

DJ

FOR COCKTAIL HOUR & MIDDAG

Many people worry that having a DJ for the reception and dinner might not be appropriate and that it could end up being too loud or over the top. However, if you hire someone with experience, there’s no need to worry. A skilled DJ knows how to adjust the volume and music to match the atmosphere.

 

In addition to ensuring the music fits the mood, the biggest advantage of hiring a DJ is that you don’t have to think about managing it yourself. That’s one less thing to keep track of on your wedding day, allowing you to relax and enjoy the celebration.

PROS

• If you’re hiring a DJ for the party, you can often get a good price for having them play during dinner as well. And a skilled DJ for the dinner is definitely a better option than a playlist in every conceivable way.

• DJs can often provide a microphone if needed or connect a phone to their speakers for any planned activities or speeches.

• DJs require much less space compared to a band, which is ideal if you’re working with limited room. Plus, you won’t have to spend time setting up or preparing anything yourself.

• Unlike many live musicians, a DJ can create a broader soundscape and adjust the dynamics to build the atmosphere as the mood shifts.

• An experienced DJ usually has a comprehensive library of instrumental versions of songs that are often used for performances. This means they can accompany your guests’ planned activities or songs. Unlike a playlist, a DJ can adjust the tempo if guests sing too fast or too slow, ensuring everything stays on track.

CONS

• Costs more than a playlist solution, as you’re paying not only for the DJ’s time but also for their equipment and expertise.

• You’ll need to coordinate the DJ’s arrival and setup to ensure everything is ready in time for dinner. This also requires letting go of some control and trusting a stranger, which applies to live musicians as well.

• Just like with live music, you’ll need to spend time finding the right DJ. For many, this process can feel overwhelming.

• If expectations haven’t been clearly aligned, you risk hearing music you don’t enjoy. This also applies to hiring a band.

NO MUSIC DURING DINNER?

 

Some couples choose not to have any music during the dinner. Personally, I wouldn’t recommend this unless you’ve really thought it through and have strong reasons for it. From my experience, the first part of the dinner—when guests haven’t had much to drink yet—can sometimes feel a bit too quiet.

 

Dinner music should be played at the right volume, just below the level of conversation, so guests can still comfortably talk at the tables. This creates a pleasant background hum that helps everyone relax and feel at ease.

 

If you’re unsure, try putting on some soft background music the next time you’re having dinner at home. Keep the volume low so it doesn’t dominate the room. You’ll quickly notice how it changes the atmosphere. There’s a reason why all fine dining restaurants have background music—it adds something truly special to the experience.

THE PARTY

 

After Dinner, It’s Time to Party!

 

When it comes to the party, you have three main options: a playlist (or alternatively a jukebox), a DJ, or a live band. Depending on your budget and the vibe you want to create, these options can differ significantly. Bands and DJs come in a variety of styles, quality levels, and price ranges. It’s important to consider what you want the music to bring to your celebration.

 

For example, if you and your partner love hard rock and metal but know that many of your guests don’t, a heavy rock band might not be the best choice for this particular occasion.

 

Established DJs and party bands are often experienced in playing a wide variety of party-appropriate genres and are used to entertaining audiences with a broad age range. However, each option comes with its own advantages and disadvantages. I’ll outline those for you below.

Band Performance

LIVE MUSIC

FOR THE PARTY

Live music is live music. It's people playing together and creating a chemical reaction on stage that your guests will be able to feel and be infected by. That's why people go to concerts. Of course, it requires, like with so much else, a good band with good experience. But with that said, first of all, you have to be into live music and what it entails. The songs won't sound like the originals and there are always some technical limitations, compared to a DJ who can better control volume and acoustics. Like the other solutions, there are things you get and things you have to do without.

I sometimes find that people want a band, but are afraid that it will be too "concert-like" without so much dancing. And that is of course a risk. But with that said, it is important to remember that good wedding bands are not concert bands. They come to play for dancing and partying. So that is of course what we are assuming here.

PROS

• A great band always delivers a big wow factor to a party, creating a unique atmosphere that can be felt in the air—unless, of course, you’re not a fan of live music.

• If the groom or bride plays an instrument, they may often get the chance to join the band for a special performance.

• A band is an organic unit that works together to keep the party alive, interacting with your guests through their performance. Several band members will typically engage with the crowd, actively encouraging them to dance and sing along.

• Familiar songs often gain new energy with sing-along choruses and solos, offering a fresh take compared to the same recording you’ve heard countless times. This is, of course, only a benefit if you enjoy live music.

CONS

• Has a more limited repertoire compared to a DJ. It simply takes longer for a band to properly learn new songs, so most bands don’t have an unlimited setlist.

 

• Typically takes up more space than a DJ, and the cost reflects this. Drums, amplifiers, microphone stands—and, of course, 3, 4, or 5 people who all need to be paid.

• Some bands may struggle to control the volume in very small venues. They might get carried away by the atmosphere, or they may not have a sound technician to monitor how it sounds in the room.

• Usually offers shorter performance times compared to a DJ, who can often play for many more hours.

SUMMARY

It IS hard to find the perfect match, and if you are late, many of the good ones may already be booked. Fortunately, there are still many good ones out there. I would advise you to book as soon as you have decided which way you want to go. And remember, it is your party and your setting. There are things that can be done, and things that cannot be done. Good and professional suppliers will always do what they can to fulfill your wishes or come up with good alternatives.

PLAYLIST FOR THE PARTY?

 

This is not something I would recommend if you’re aiming for a truly festive atmosphere. I often hear about couples planning to connect Spotify to some speakers and let the guests choose the music. But what happens when people start drinking? I can guarantee you’ll rarely hear more than a minute of each song! There will be interruptions, and we all know that one guest who insists on playing something obscure that no one knows or can dance to.

 

While it’s possible to set up a queue function, it rarely works well and often disrupts the flow of the party. If your budget doesn’t allow for a DJ or a band, you might consider assigning someone (not an active guest) to manage the playlist. This could help you avoid some of the most common issues and keep the music flowing more smoothly.

LIVE MUSIC

FOR COCKTAIL HOUR & DINNER

Live music, like for all other scenarios, is something extra for the cocktail hour/dinner. It gives a wow factor that only live music can. And many live musicians are also good at singing along to the performances, so Aunt Gemma's voice doesn't drown out everyone else.

PROS

• Live music creates a unique atmosphere and a “wow” effect. For many guests, it feels extraordinary to arrive and see live musicians performing—something truly special and out of the ordinary.

• Like DJs, many live musicians also provide a microphone that can be borrowed for speeches or performances, so you don’t have to worry about sourcing one yourself.

• Most skilled musicians can accompany your planned performances or activities, especially if they are informed in advance. This is also something good DJs can do, as described above.

• Live music offers a more rustic and dynamic experience compared to pre-recorded tracks. There’s simply something incomparable about live music—it’s an experience all its own.

CONS

• There’s typically less variation in the soundscape if, for example, you have a pianist playing throughout the dinner. You’re essentially “stuck” with that particular sound. The same applies to a singer with an acoustic guitar—while it’s very charming, it can feel a bit monotonous over time.

• Live musicians usually need to take breaks during the event, especially if they’re singing for extended periods. A DJ, on the other hand, can simply play a playlist while they step away to eat, with minimal disruption to the overall sound.

• If a singer is feeling slightly unwell on the day, it will likely be more noticeable compared to a DJ, where the music remains consistent regardless of their condition.

Playing the Saxophone

DOES YOUR WEDDING HAVE A THEME?

For example, if you are having a "Great Gatsby wedding," it might be a good idea to choose a band that specializes in music from that era, or find a DJ who is familiar with that repertoire. Music is known to set the mood, and if the music fits your theme and the guests' attire, that can be an important factor.

 

DO YOU HAVE LIMITATIONS ON YOUR CHOICE OF VENUE?

A band typically needs more space than a DJ, and will also have a harder time "adapting" to the size of the playing area. So check with your venue to see if there is enough space for a band, and if so, how much space is available. DJs have a much easier time scaling down a bit and taking up less space if the space is tight.

 

There may also be restrictions on power requirements. No one wants the fuse to blow in the middle of the wedding waltz! Also, be aware of any noise restrictions. Some venues have rules about how long loud music can be played. A DJ can adjust and adjust the sound level more easily than a band.

FOR THE PARTY

A DJ who specializes in the type of music you want played at your wedding (pop, rock, dance - whatever you love) can create a wonderful and festive atmosphere and really get the party going. If it is established, they also have a good sound system and suitable nice lighting. At the same time, a good DJ can accommodate many wishes and easily acquire your favorite songs if they are not already in the repertoire - unlike a band that has a more fixed repertoire and needs to spend more time rehearsing special requests.

PROS

• Can usually fit into very tight spaces, and if their setup is designed to work in a corner, it often leaves even more room for the dance floor.

• A skilled DJ can truly energize a party and will actively read the room and guests, unlike a static playlist.

• Cheaper than live music, as there’s only one person to pay. However, there is still a base cost for setup and equipment.

• Has a very large repertoire and can accommodate most requests, especially if they have a connection to platforms like Spotify for those unique, personal, or less well-known song choices.

• Can better control the volume and adapt to the room’s size and acoustics, without the fixed volume of a drum kit dominating the sound.

CONS

• A more fixed solution compared to a band, as one person handles everything. If something technical goes wrong, there’s no one else to “distract” the audience in the meantime.

• Doesn’t have the same energy to hype up your guests as a band with 4–5 members. This doesn’t mean the DJ can’t get the party started, but there’s a noticeable difference between one person and a group of performers energizing the crowd.

• A less personal option in terms of the impression it leaves on your guests. While a DJ can do an excellent job, it doesn’t create the same “wow” effect as a live band.

• If expectations haven’t been clearly discussed, there’s a risk the DJ might play music you don’t want to hear. Of course, this risk also applies to a band.

YOU’VE MADE A DECISION! WHAT’S NEXT?

 

Now that you’ve decided whether to go with a band or a DJ, it’s time to start searching for the perfect option for your wedding. Here are some questions you can ask potential candidates:

 

1. Are you available on our wedding date?

Many great bands and DJs are booked 6–12 months in advance, so don’t wait to ask this!

 

2. What is the cost for approximately 3–4 hours of party music?

It might not sound like much time, but after a full day of celebrating, this is usually perfect. Plus, you can always extend the party on the night.

 

3. What’s the cost of extending the party?

If the crowd is ready to keep the celebration going, what are the additional charges?

 

4. Can you play these specific songs?

It’s your special day, so it’s essential your music provider can play the songs that matter most to you.

 

5. Can we see you perform somewhere before we book?

Bands often have rehearsal spaces where you might be able to watch them play, or they might perform publicly at bars or venues.

 

6. Do you have client testimonials we can see?

Or, with their permission, can you provide contact details for past clients so we can hear about their experience?

 

7. Will you accept our “must-play” and “do-not-play” lists?

This is a great way to ensure you’re on the same page with your music provider. If they’re unwilling to accommodate this, it might be a sign to keep looking.

Tip: Be clear with bands about how much input you’ll have on the setlist. I’ve had experiences in my old band where couples asked their guests to submit song requests (without informing us), resulting in a list of 30 songs just a week before the wedding. While this works for DJs, it’s much harder for bands to learn and prepare so many new songs on short notice.

 

8. Are you open to song requests from guests?

This is entirely up to you. Some couples love the idea of guests making requests, while others prefer sticking to a predetermined playlist.

 

9. What happens if you’re unable to perform due to illness?

Most professionals have backups available, but it’s good to confirm this. If it’s a band and the lead singer falls ill, you can ask to hear the substitute performer. Make sure everything is clearly outlined in the contract.

 

10. Which band members will perform at our wedding?

Wedding bands often have multiple members and can perform in different configurations. Ensure the lineup includes the singer or musicians you specifically liked when booking.

 

WHAT ABOUT THE SETUP?

 

There are many ways to set up for a wedding performance, and it’s important to strike the right balance—not too much, but not too little either. An experienced vendor knows how crucial it is to have a setup that’s both aesthetically pleasing and functional. Guests shouldn’t be tripping over cables or losing half the dance floor to oversized speakers.

 

THE CONTRACT

 

Once you’ve chosen your music provider and all your questions have been answered, there’s just one thing left: the contract. Make sure it covers the following points:

• Performance times: How many hours they’ll perform, and how breaks will be structured.

• Payment terms: What’s the deposit amount, and when is it due? When is the remaining balance due, and does it include meals for the performers?

• Cancellation policy: What happens if you or they cancel?

 

A clear and detailed contract ensures that everyone is on the same page and helps your wedding music run smoothly!
